The Challenge

A growing diagnostics provider in Kathmandu had built a strong clinical reputation but their digital operations hadn't kept pace. Patient records were stored manually, report delivery required physical visits, and there was no centralized system to manage appointments or patient history. Staff spent hours searching through physical records. Patients waited longer than necessary for results. And the organization had zero visibility into operational performance.

Our Solution

We built a full-stack healthcare operations platform — not a website. A patient-facing self-service portal for digital report access from any device, a staff management dashboard for operational control, a complete appointment and booking system with automated reminders, and an operational analytics layer providing real-time visibility into patient volume and department performance. All patient history was migrated and indexed from physical records into a secure, searchable digital archive.

Key Challenges

Fragmented Patient Records

Years of patient history stored in physical files with no searchable, structured format.

Zero Operational Visibility

No dashboards, no reporting, no way to measure performance or identify bottlenecks.

Manual Workflows

Appointment booking, report issuance, and patient communication all done manually.

Poor Patient Experience

Patients had to visit in person for results — creating friction and limiting reach.

Our Approach

How we approached it.

01

Deep Operational Discovery

We spent the first two weeks embedded with the client's staff — mapping existing workflows, understanding how records were created, stored, and retrieved, and identifying where the most critical friction points lived. We didn't

02

Records Audit & Migration Architecture

Before building anything new, we designed a structured migration plan for existing patient data — defining how legacy records would be digitized, categorized, and made securely searchable without data loss or compliance risk.

03

Platform Architecture & UX Design

We designed two distinct experiences simultaneously: a patient-facing portal built for clarity and ease, and a staff-facing management dashboard built for operational control. Both were designed mobile-first, given the client's patient demographic.

04

Phased Build & Iterative Handoff

We deployed in phases — launching core infrastructure first, then layering on patient history, analytics, and the self-service portal — so the client could onboard staff progressively without disrupting live operations.

What We Built

The full solution.

Patient Self-Service Portal

Patients access their reports, appointment history, and diagnostic results digitally — from any device, without a physical visit.

Historical Records Digitization

Years of physical patient records migrated, structured, and indexed into a searchable, secure digital archive with role-based access control.

Appointment & Booking System

End-to-end online appointment management — from patient self-booking to staff confirmation workflows and automated reminders.

Operational Analytics Dashboard

Real-time visibility into patient volume, report turnaround times, department performance, and peak operational periods.

Role-Based Access Management

Granular access control ensuring doctors, lab staff, front desk, and administrators each see only what is relevant and authorized.

Cloud-Native Infrastructure

Fully cloud-hosted with automated backups, zero-downtime deployment pipelines, and infrastructure built for high availability.

The Transformation
Before
  • Patient records stored in physical files — unsearchable and at risk of loss
  • Report collection required patients to visit the center in person
  • Appointment booking done entirely via phone calls
  • Staff spent hours per day on manual record retrieval
  • Zero visibility into operational performance or patient trends
  • No digital presence — brand credibility limited to word of mouth
After
  • All patient records digitized, indexed, and securely accessible in seconds
  • Patients receive and access reports digitally from any device
  • Self-service online booking with automated confirmations and reminders
  • Staff time on administrative tasks reduced by over 60%
  • Real-time analytics dashboard for operational decision-making
  • A professional digital presence that reflects the quality of clinical care
